How tilers can cut their admin time

Quick answer

The biggest admin time-savers for tilers are quoting on site from your own saved rates, turning accepted quotes straight into invoices, automatic payment and review reminders, and keeping every job's details, photos and figures in one place.

Software built for tilers, such as TileIQ, does the tiling maths for you. General trade apps handle scheduling and invoicing but leave tile, adhesive and grout quantities to you.

You tile all day, then do the paperwork at night: pricing up jobs, sending invoices, chasing money and keeping records for the tax return. A March 2026 survey of 167 UK small business owners found they spent an average of 8 hours a week on repetitive admin, the equivalent of about ten working weeks a year. Most of that can be cut down. Here's where the time goes and how to get it back.

1. Quote on site, not at night

Pricing a job from scribbled measurements hours later is slow, and it's easy to miss things. In the same survey, over a third said a single quote took them more than 20 minutes.

  • Set your rates once: labour per m² for walls and floors, plus your usual extras such as tanking, levelling and strip-out.
  • Measure into the quote, not onto paper, so the materials and labour are worked out while you're still in the room.
  • Send it the same day. A quick, professional quote wins more work than a cheap one sent next week.

2. Let the materials work themselves out

Working out boxes of tiles, bags of adhesive and grout for every wall and floor is one of the most time-consuming parts of a tiling quote. Use a calculator that does it from the measurements, with wastage for the layout, instead of doing the sums by hand. Our free tiling calculator does this for one area at a time.

3. Turn the accepted quote into the invoice

If the quote, job and invoice live in different places, you type the same customer and job details three times. Keep them together, so an accepted quote becomes the job and the finished job becomes the invoice, without retyping.

4. Stop chasing payments by hand

Invoicing and payment chasing topped the list of tasks the survey's business owners most wanted to automate.

  • Put payment terms on the quote, including any deposit and when the balance is due.
  • Invoice on the day you finish, while the customer is pleased with the work.
  • Use automatic reminders rather than remembering to chase.

5. Keep everything about a job in one place

Measurements, photos, the quote, notes about the customer's tile choice and the invoice should all sit together. It saves digging through your phone and texts later, and it's the evidence you need if there's ever a dispute.

6. Get your records ready for Making Tax Digital

Making Tax Digital for Income Tax started on 6 April 2026 for sole traders with income over £50,000, and it's being phased in for lower incomes over the following years. If it applies to you, you must keep digital records of income and expenses in HMRC-recognised software and send quarterly updates. Invoices that flow straight into accounting software such as Xero, FreeAgent or QuickBooks make this far easier. Check HMRC's guidance to see when it applies to you.

7. Automate the after-job jobs

Asking for a Google review and posting photos of finished work bring in the next job, but they're easy to forget once you've moved on. Set them to happen automatically when you mark a job complete.

8. Batch the rest

Some admin will always be left. Pick one regular slot a week for it, such as Friday afternoon, rather than letting it spill into every evening.

What software helps tilers with admin?

There are two kinds:

  • General trade job management apps handle scheduling, quotes, invoices and payments for any trade. They leave the tiling quantities to you.
  • Tiling-specific apps also work out the tiles, adhesive, grout and tanking from your measurements.

TileIQ is a tiling-specific app built by a working tiler. It measures rooms (including from a Leica Disto), prices the job from your rates, sends the quote, runs the job and invoice, sends invoices to Xero, FreeAgent or QuickBooks, and asks for Google reviews automatically. For a side-by-side of the main options, see the best apps for tilers in the UK.

The survey figures are from a small sample of UK small business owners across many sectors, not just tilers. Making Tax Digital dates and thresholds can change, so check HMRC's guidance for your situation.
